Overview
At GymFast, we want every gym to be confident in their decision to use our platform. If GymFast isn't the right fit, we offer a fair and transparent refund process.
1. Eligibility
Refunds are available to Gym Owners with an active annual subscription. Refund requests can be made at any time during the subscription period by contacting us at support@gymfast.app.
2. Refund Calculation
Refunds are calculated on a pro-rated basis based on the unused portion of your annual subscription:
- Refund Amount = Annual price paid minus the cost of months already used, minus the data export fee (if applicable).
- Usage is calculated in full calendar months from the subscription start date. Partial months are counted as full months.
Example: If you paid ₹20,000 for a 12-month subscription and request a refund after 4 months of use, the calculation would be:
- Months used: 4
- Unused months: 8
- Pro-rated refund: ₹20,000 × (8 ÷ 12) = ₹13,333
- Data export fee (if requested): ₹20,000 × 20% = ₹4,000
- Final refund (with data export): ₹13,333 − ₹4,000 = ₹9,333
- Final refund (without data export): ₹13,333
3. Data Export
If you would like to export your gym's data (member records, billing history, attendance logs, etc.) before your account is closed, a data export fee of 20% of the annual subscription price will be deducted from your refund amount.
- The data export fee covers the preparation and delivery of your data in a standard, machine-readable format (CSV/Excel).
- Data export is optional. If you do not require your data, no export fee is charged.
- Data export will be delivered within 7 business days of the refund request.
4. Access Termination
Upon approval of a refund request:
- A termination date will be mutually agreed upon between you and the GymFast team.
- You will retain full access to the platform until the agreed termination date.
- After the termination date, your account and all associated data will be deactivated.
- Data that has not been exported will be permanently deleted within 30 days of the termination date.
5. 3-Month Free Trial
If you are on the 3-month free trial and decide not to continue:
- No payment is required. Simply notify us and your account will be closed.
- You may request a data export during the trial period. The data export fee does not apply during the free trial — your data will be provided at no cost.
6. Refund Process
- Submit a request: Email support@gymfast.app with your gym name and reason for cancellation.
- Confirmation: We will acknowledge your request within 24 hours and discuss the termination date.
- Data export (optional): If you'd like your data exported, let us know and we will prepare it.
- Refund processed: The refund will be processed within 7-10 business days after the agreed termination date.
- Access closed: Your account will be deactivated on the termination date.
Refunds are issued to the original payment method.
7. Non-Refundable Items
The following are not eligible for refunds:
- Gym Website add-on: The website add-on (₹10,000/year) is non-refundable once the website has been set up and published.
- Setup and onboarding fees: These are always free, so no refund is applicable.
8. Changes to This Policy
We may update this Refund Policy from time to time. Changes will be posted on this page with an updated date. For material changes, we will notify Gym Owners via email.

This refund policy is governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts in Surat, Gujarat, India.
